Claims need to be made via the NHSBSA’s Manage Your Service (MYS) platform
between 1st January and 12th February 2021.
Claims
can be made in one of two ways. A Standard Claim or An Exceptional claim.
Please Note: From 21st September 2020, pharmacies could
obtain all their COVID-19 PPE free of charge from the DHSC portal.
1 - A Standard
Claim
- a fixed amount based on the size of your
business.
- takes 2 mins to claim via MYS and no records or invoices are
needed.
The value is based on estimates agreed by DHSC & PSNC. The claim amounts have
been calculated based on estimated usage and costs of standard PPE (aprons, gloves, Type IIR masks and hand sanitiser). Covering the period between 27th February 2020 – 31st October 2020.
PharmaPlus recommends all members claim using this process and do believe the
exceptional claim process is one which will not apply to many of our members.
What you need to
do:
- Find
your band – This should have been sent to your shared NHS Mail account - The Subject title would have been COVID-19 PPE reimbursement for your pharmacy and this would have come from NHS Business Services Authority <noreply@nhsbsa.nhs.uk>
- Login
to MYS and click on the PPE Claim tab.
- Enter
in your items according to your band, followed by the claim amount as shown in the table below and then submit your claim.
If you believe the amount is less than you spent on PPE for the Period, was higher
than the standard amount offered you can make an exceptional claim.
(When making an Exceptional claim, contractors will be required to confirm that
they have documentation to evidence the value of their combined standard and exceptional claims and can make this documentation available on request to the NHS BSA)
Remember if you have been using the free NHS portal then for that period
you should not make an extra claim on top. A process also exist for larger groups however we suggest each branch is claims individually.
Exceptional claims cover 2
periods:
- between 27th February 2020 and 31st October 2020 in excess of the standard claim value and to be used up until 31st March 2021; and/or
- between 1st November 2020 and 31st December 2020* and to be used up until 31st March 2021.
What you need to
do:
- Gather evidence of PPE purchased in the form of invoices / receipts – you will be expected to produce evidence of a combined total of your standard and exceptional claim (see time periods above).
- For
claims between 1st November 2020 – 31st December 2020 you will be required to declare you did not receive duplicative PPE via the portal.
- Between 27th February 2020 and 30th June 2020, any PPE (including visors) used as a substitute for unavailable standard items can be covered as part of an exceptional claim.
- Where
PPE is claimed up to 30th June 2020 outside of the now standard list (aprons, gloves, Type IIR masks and hand sanitiser) the contractor will need to be able to evidence the need for that PPE, if requested to do so. This evidence may take the form of a staff risk assessment or similar.
- Exceptional claims should be made where the pharmacy was open for less than 90% of the time from 27th February 2020 to 31st October 2020 or where they changed ownership during that period, as the standard claim amount option will not be available to them.
- Once
you have gathered the information on your claim submit your data onto MYS.

We suggest claims are made ASAP so the deadline is not missed. The
deadline is 12th February 2021.
